Terms and Conditions – Nature Excursion Safaris

1. Introduction

Welcome to Nature Excursion Safaris. We are committed to providing memorable, safe, and well-organised safari experiences in Tanzania and East Africa. These Terms and Conditions outline the responsibilities of Nature Excursion Safaris and our clients regarding bookings, payments, cancellations, travel arrangements, and other aspects of your trip.

By confirming a booking with Nature Excursion Safaris, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.

2. Booking and Payment Terms

2.1 Booking Process

Clients must provide accurate personal information, including full names, passport details where required, travel dates, and other relevant information necessary to arrange their trip.
A deposit of 20% of the total safari cost may be required to confirm a booking, depending on the package and the terms agreed upon at the time of reservation.
The remaining balance must be paid by the agreed deadline, which will be communicated during the booking process.
Certain services, accommodation providers, or travel arrangements may require full payment in advance.
A booking is considered confirmed once the required deposit or payment has been received and confirmation has been issued by Nature Excursion Safaris.

2.2 Payment Methods

Payments may be made through bank transfer, credit card, or other payment methods approved by Nature Excursion Safaris.

Any applicable bank charges, transaction fees, or currency conversion fees will be communicated where possible and must be covered as agreed during the booking process.

3. Cancellation and Refund Policy

3.1 Cancellation by the Client

Cancellation requests must be submitted in writing to Nature Excursion Safaris. Refunds will be calculated according to the agreed booking terms and the cancellation policies of relevant accommodation providers, airlines, park authorities, and other service providers.

Unless otherwise stated in the booking confirmation, the following cancellation schedule may apply:

More than 60 days before departure: A refund may be issued, less applicable administrative charges and non-refundable costs already incurred.
30–60 days before departure: Up to 50% of the total booking cost may be refundable, subject to supplier terms and payments already committed.
Less than 30 days before departure: Payments may be non-refundable due to costs already incurred and commitments made to service providers.

Any applicable refund will be communicated to the client after the cancellation request has been reviewed. Specific cancellation terms provided in a quotation or booking confirmation will take precedence where they differ from this general policy.

3.2 Cancellation by Nature Excursion Safaris

In exceptional circumstances, Nature Excursion Safaris may need to cancel or modify a trip due to safety concerns, operational difficulties, natural disasters, government restrictions, or other circumstances beyond reasonable control.

Where a cancellation is necessary, we will make reasonable efforts to offer an alternative travel date or a suitable replacement arrangement. If an alternative cannot be agreed upon, any refund will be handled in accordance with the booking terms, applicable law, and the refund policies of relevant service providers.

4. Safari Inclusions and Exclusions

4.1 Inclusions

The services included in a safari package will be clearly specified in the itinerary or quotation. Depending on the selected package, inclusions may cover:

Accommodation at lodges, tented camps, campsites, or hotels.
Meals as specified in the itinerary.
Game drives and wildlife viewing activities.
National park entry fees and other listed conservation or activity fees.
Transportation in a suitable 4×4 safari vehicle.
Services of a professional safari guide.
Other activities or services expressly listed in the confirmed itinerary.

4.2 Exclusions

Unless expressly stated otherwise in the confirmed itinerary, the following are excluded:

International and domestic flights.
Visa fees and other immigration-related costs.
Travel insurance and medical expenses.
Personal expenses, including souvenirs, laundry, and additional drinks.
Tips and gratuities.
Optional activities not included in the package.
Any additional costs arising from personal requests, itinerary changes, or circumstances outside the agreed package.

Clients are encouraged to review their quotation carefully to ensure they understand exactly what is included in their chosen package.

5. Travel Insurance and Liability

Clients are strongly advised to obtain comprehensive travel insurance before departure. Insurance should cover, where appropriate, medical emergencies, emergency evacuation, trip cancellation or interruption, baggage loss, and other travel-related risks.

Nature Excursion Safaris will exercise reasonable care in arranging and delivering the services included in the confirmed itinerary. However, certain travel activities involve risks inherent in wildlife viewing, outdoor adventures, road travel, and changing natural conditions.

To the extent permitted by applicable law, Nature Excursion Safaris shall not be responsible for losses, injuries, damages, delays, or additional expenses caused by circumstances beyond our reasonable control or by the independent acts or omissions of third-party service providers.

Nothing in these Terms and Conditions excludes or limits any liability that cannot lawfully be excluded or limited under applicable law.

6. Health and Safety Regulations

6.1 Medical Requirements

Clients are responsible for ensuring they are medically fit for their planned activities and have the necessary travel documents, vaccinations, and medications.

Before travelling, clients should consult a qualified healthcare professional regarding recommended vaccinations, malaria prevention, and other destination-specific health precautions. Yellow fever vaccination requirements depend on the traveller’s circumstances and applicable entry regulations.

Clients must inform Nature Excursion Safaris in advance of any relevant dietary requirements, mobility limitations, or special assistance needs that may affect the trip arrangements.

6.2 Wildlife and Activity Safety

For the safety of clients, guides, and wildlife, all travellers must:

Follow the instructions of their safari guide and activity leaders.
Remain inside the safari vehicle during game drives unless the guide confirms that exiting is permitted.
Avoid feeding, touching, provoking, or disturbing wild animals.
Respect park rules, conservation regulations, and designated viewing areas.
Follow safety instructions during hiking, mountain climbing, and other outdoor activities.
Behave responsibly and respect local communities, cultural practices, and the natural environment.

Nature Excursion Safaris reserves the right to take reasonable safety measures, including modifying an activity, if a client’s conduct or circumstances create a significant risk.

7. Client Responsibilities

Clients are responsible for:

Providing accurate booking information and valid travel documents.
Obtaining the visas, permits, vaccinations, and insurance required for their journey.
Making payments by the agreed deadlines.
Arriving at the designated meeting points on time.
Respecting Tanzanian laws, national park regulations, accommodation rules, and local customs.
Taking reasonable care of personal belongings and any property provided during the trip.
Behaving respectfully toward guides, staff, other travellers, local communities, and wildlife.

Any damage caused to property through a client’s negligent or intentional actions may result in additional charges where legally recoverable.

Serious misconduct or repeated disregard for safety instructions may result in the suspension or termination of an activity or trip, subject to applicable law and the circumstances involved. Any refund will be assessed under the relevant booking and cancellation terms.

8. Force Majeure

Nature Excursion Safaris shall not be held responsible for failure or delay in performing its obligations where the cause is beyond its reasonable control. Such circumstances may include extreme weather, natural disasters, epidemics, government restrictions, political unrest, strikes, road closures, or other unforeseen events.

Where such circumstances affect a trip, we will make reasonable efforts to inform affected clients and arrange suitable alternatives where practicable. Additional costs, refunds, or rescheduling will be handled according to the agreed booking terms, applicable law, and the policies of relevant service providers.

9. Changes to the Itinerary

Nature Excursion Safaris reserves the right to make reasonable changes to an itinerary when necessary due to weather conditions, wildlife movements, road conditions, park regulations, accommodation availability, operational requirements, or safety considerations.

Where a significant change is necessary, we will inform the client as soon as reasonably practicable and seek a suitable alternative where possible.

Wildlife sightings, including the Big Five and the Great Migration, cannot be guaranteed because animals move freely in their natural habitats.

Any client-requested changes to a confirmed itinerary must be agreed upon in advance and may result in additional costs or changes to the booking conditions.

10. Complaints and Dispute Resolution

Clients who experience a problem during their trip should notify their safari guide or contact Nature Excursion Safaris as soon as reasonably possible so that we have an opportunity to address the matter.

We aim to resolve complaints fairly and amicably through direct communication. If a dispute cannot be resolved through discussion, it may be referred to the appropriate legal authorities or courts in accordance with the applicable laws of Tanzania.

11. Privacy and Personal Information

Nature Excursion Safaris collects and processes personal information where necessary to manage reservations, arrange travel services, communicate with clients, and meet applicable legal requirements.

Personal information will be handled in accordance with applicable data protection laws and will only be shared with relevant service providers or authorities where necessary for the trip or otherwise legally permitted.

12. Acceptance of Terms and Conditions

By making a booking with Nature Excursion Safaris, clients confirm that they have read and accepted these Terms and Conditions, together with any additional terms specified in their quotation, itinerary, or booking confirmation.

We encourage all clients to review their travel arrangements carefully and contact our team before making a payment if they require clarification.
